Data Entry Form in Excel in Hindi | Advanced DATA ENTRY Software in Excel | macro data entry form
Step 1: Create the Form Layout
Create a New Excel Sheet and design the basic form in the center. Add fields such as First Name, Last Name, and Phone Number. Use Outside Borders to create input boxes.
Step 2: Create Gender Options
Go to Developer → Insert → Form Controls and select Option Button. Create two options: Male and Female.
Put them inside a Group Box so that only one option can be selected at a time.
Step 3: Create Course & Batch Dropdowns
For the Course field, go to Data → Data Validation → List and enter courses such as Advanced Excel, Python, Prime, Photoshop.
Similarly, create a Batch dropdown with options such as Morning and other available batches.
Step 4: Create Payment Mode
Create another Group Box for Payment Mode. Add two Option Buttons: Cash and Online. This allows the user to select the required payment method.
Step 5: Design the Form
Arrange all fields properly and apply Colors, Borders, Alignment, and formatting. You can also add Shapes for buttons such as Submit and Clear. Hide the Gridlines to give the form a professional look.
Step 6: Create the Database Sheet
Create another sheet and add fields like First Name, Last Name, Phone, Gender, Course, Batch, Payment Mode. Link the form fields to this sheet using Cell References so that the entered data automatically appears in the database area.
Step 7: Convert Option Button Values
For Gender, link the option buttons to a cell using Format Control → Cell Link. Then use an IF formula to convert the linked value into text.
Cell = 1 → Male
Cell ≠ 1 → Female
Similarly, use an IF formula for Payment Mode to return Cash or Online.
Step 8: Record the Submit Macro
Go to Developer → Record Macro and name it, for example, DataSet. Copy the form data, use Paste Special → Transpose → Values, and then insert the copied data into the Database Sheet using Insert Copied Cells → Shift Cells Down. Finally, clear the form fields and Stop Recording.
Step 9: Assign Macro to Submit Button
Right-click the Submit button and select Assign Macro. Choose the recorded DataSet macro. Now, whenever you fill the form and click Submit, the data will automatically be added to the Database.
Step 10: Create the Clear Button
Record another macro called ClearData. While recording, delete the existing form data and stop the recording. Then right-click the Clear button → Assign Macro → ClearData. Now clicking Clear will automatically remove the entered data from the form.
